Job Title: Event Logistics Coordinator, Part Time

We are looking for a part-time event coordinator to help manage speaking opportunities for our roster of talent. The successful candidate will be detail oriented, hardworking and committed to delivering exceptional service to our clients and talent.


Job Description:

As an Event Operations Coordinator, you will ensure the smooth execution of events from start to finish. Acting as the primary liaison between clients, speakers, agents, and managers, you will handle various tasks to facilitate successful event operations.

This role involves managing schedules, handling correspondence, and perform various tasks to support the events we book for talent. Strong organizational, communication, and multitasking skills are essential for this role.

Key Responsibilities:

1. Email Management:
• Serve as the main contact for event-related communications with clients, speakers, agents, and managers.


2. Invoice Management:
• Create and manage invoices using QuickBooks; including sending, receiving, and tracking invoice status.
• Oversee invoice processes, ensuring timely issuance and follow-up on payments.


3. Event Call Scheduling:
• Schedule and coordinate pre-event calls between clients and speakers.
• Confirm and communicate all event details from the call to relevant parties.


4. Review and Maintenance:
• Conduct weekly reviews to ensure all tasks are on track and deadlines are met.
• Perform monthly clean-ups to archive completed events and maintain an organized email system.


5. Client and Speaker Support:
• Provide exceptional customer service, addressing any questions or concerns from clients and speakers promptly.
• Provide effective solutions for clients and speakers to ensure a smooth and successful event planning process.
• Assist in resolving any issues that may arise during the event planning process.

Qualifications:

• Strong organizational and multitasking skills.
• Excellent communication skills, both written and verbal.
• Proficiency in using Gmail and its features.
• Ability to work independently and manage time effectively.
• Detail-oriented with a focus on accuracy and efficiency.
• Experience in event planning or coordination is a plus.
• Eagerness to learn and adapt as we guide our company to do the same
